Position: Event Specialist
Exemption Status: Non Exempt | Full Time
Hours: Monday-Friday, 8:30am-5pm | 37.5 hours per week
Staff works remotely on Fridays
POSITION SUMMARY
We are searching for a self-motivated and outgoing event specialist to assist our organization in delivering phenomenal events for our members. The event specialist will be responsible for working with Special Events Committee to conceptualizing event themes, preparing and managing event timelines, coordinating technical aspects, marketing, and help oversee event happenings.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Understand requirements for each event
Plan event with attention to financial and time constraints
Research potential venues
Research vendors (catering, decorators, musicians etc.) and choose the best combination of quality and cost
Market the event
Secure sponsorships
Help manage all pre and post event operations (preparing venue, invitations, pre and post internal and external communication, etc.)
Complete final checks the day of the event (e.g. tables, technology) to ensure everything meets standards
Oversee event happenings and act quickly to resolve problems
Coordinate event logistics, including registration and attendee tracking, presentation and materials support and pre and post-event evaluations.
Evaluate event’s success and submit reports
KNOWLEDGE, SKILLS AND ABILITIES
Strong computer skills including MS office
Skillful with website administration
Ability to multi-task on a daily basis
AMS Software experience preferred
Brochure and flyer layout and design
Strong attention to detail
Excellent customer service and interpersonal skills
Excellent listener and communicator
Highly organized, flexible, and efficient
Graphic art design desired
Able to handle stress and remain calm
EXPERIENCE REQUIRED
1-3 years experience in events
Proven track record of organizing successful events
Experience in non-profit organizations a plus
Excellent command of English (written and verbal)
Willingness to work evening/weekends and nonstandard hours as needed
Canva, Mailchimp highly desired
AMS Software experience a plus
EDUCATION / CERTIFICATIONS REQUIRED
Bachelor’s degree in Communications, Journalism, Public Relations, or related field
Related work experience or other certifications may be considered in lieu of degree
PHYSICAL DEMANDS / WORK ENVIRONMENT
Sedentary/stationary position. Must be able to remain in stationary position for prolonged periods (up to 85% of time) with occasional movement around office environment
Requires frequent use of computer for extended viewing of computer screen (at least 85% of time) and repetitive use of a keyboard and some phone activity
May require occasional travel by car to corporate office, event site, training, or conferences
Communication skills: listening, verbal, written, presentations
