Conference Program Specialist - REMOTE North American Society for Trenchless Technology (NASTT)

We’re looking for an organizational guru who can expertly support our Conference Services Team by leading the charge on speaker management, event registration and scholarship application process for our two annual conferences. As an ideal candidate, you can handle all of this and then some. If things change, you adapt with ease and find alternative solutions for continual improvement. You are professional, reliable, and thrive in a collaborative environment and your attention to detail is impeccable. Bonus points if you’re actively involved with ASAE. This is a permanent, full-time, remote position.
Assist the Technical Program Committee with all speaker management of the NASTT No-Dig Show and the NASTT No-Dig North including hosting meetings and overseeing deadlines.
Execute the call for abstracts and facilitate educational session schedule by collecting the technical papers and PowerPoints.
Maintaining the final educational session schedule for updates and accuracy.
Event Registration/Mobile App:
Set up and oversee the annual No-Dig Show and No-Dig North registration in e-Show software.
Assist with registration customer service via phone calls, email, tech support and payment requests.
Ongoing reporting with registration updates for staff and Board of Directors.
Utilize the e-Show software to launch the on-site mobile app for the NASTT No-Dig Show.
Scholarship Application Coordination:
Set up and administer the NASTT Municipal Scholarship online application process from start to finish for both the NASTT No-Dig Show and the NASTT No-Dig North Show.
Staff liaison to committee of volunteers overseeing the Municipal Scholarship program.
Communicate and coordinate with applicants that have been approved in regard to next steps, registration and hotel bookings.
What You’ll Bring to the Job
A minimum of three years of successful experience in event services. Preferred membership association or relevant experience.
Adaptable team player willing to work in a small staff environment in which all staff handle multiple functions and do what is necessary to get the job done. This role will work closely with the Marketing Manager, Event Manager and Conference and Sales Director to execute our two, premier conferences annually. The ability to communicate and collaborate effectively with our team members is a necessity!
Experience in prioritizing and multi-tasking in a fast-paced remote working environment.
Familiarity with web-based tools and applications including AMS/CRM systems, preferably e-Show, MS Office Suite, Smartsheet, Impexium, Constant Contact, Wordpress or similar platforms.
Friendly, tactful and has solid, professional verbal communication and interpersonal skills, outstanding customer service skills, strong attention to detail and accuracy.
Ability to travel may be required to support administration and event management in the United States, Canada and Mexico within travel restrictions and health guidelines. Valid international travel documents are required.

The NASTT Conference Program Specialist shall maintain a professional in-home office with a mobile telephone and a high-speed internet connection. The in-home office may be located anywhere within the United States, Canada or Mexico.
