Under the supervision of the Director of Information Technology, the Information Technology Specialist supports system administration and data management pertaining to the Association Management System; provides user support on software, hardware, and peripheral device configuration; troubleshoots system and user issues; and maintains the information technology equipment, logs, and manages vendors as directed.
System Administration
Works with the department director to administer, configure, and maintain ATSSA’s Association Management System (AMS), which is built on Dynamics 365 Sales, and its associated web portal.
Provides support regarding AMS initiatives to ensure the system is working and used optimally; interfaces with departments to understand their data usage and provides IT support on projects as requested.
Conducts data imports and performs regular data hygiene activities.
Customer Support
Responds to internal help desk tickets; troubleshoots and resolves issues with the AMS, website and other systems as needed.
Works with third-party help desk vendor to ensure tickets are quickly and efficiently resolved; provides reporting and updates to department director regarding vendor performance and ticket trends; escalates or completes urgent tickets as needed.
Works with third-party help desk vendor to quickly and efficiently complete IT on-boarding and off-boarding activities; conducts IT on-boarding for new hires.
Provides training to new and existing staff on the AMS, Office 365 tools, and other platforms as requested.
Provides on-site help desk support twice monthly or as directed.
Information Security
Monitors system security reports; assists with remediating deficiencies; recommends security enhancements as identified.
Administers internal cyber security awareness training program.
Department Operations
Maintains information technology equipment inventory with serial numbers, user information and location of devices; maintains licensing information; ensures inventory is in working condition; assists with the disposal of outdated inventory; and recommends the purchase of new devices as needed.
Drafts, updates, and maintains information technology standard operating procedures, training materials, guides, and other documentation.
Assists the department director in administering, testing, and updating ATSSA’s data backup and disaster recovery plans.
Provides back-up to department director as needed; participates in annual department operations activities such as budget planning; strategic and operations planning, etc.
Other duties as assigned that drive the vision, fulfill the mission, and abide by the values of the association.
Education and Experience
A bachelor’s degree in computer science or information technology management with at least one year of experience with Dynamics 365 or another Association Management System is preferred. A combination of experience (3+ years) and education may be accepted in lieu of a bachelor’s degree.
Knowledge, Skills, & Abilities
Technical skills relevant to the position include knowledge of hardware, software, and peripheral device configuration; Dynamics 365 administration experience; Association Management System administration experience; ability to troubleshoot and support Office 365 and Windows 10/11; and the ability to support remote users and mobile devices. Non-technical skills relevant to the position include the ability to work independently or as a team; the ability to respond quickly while offering high level customer service; flexibility to change and juggle priorities in a fast-paced environment; attention to detail and the ability to track and analyze information, ability to document processes and procedures, ability explain technical issues in a non-technical way, strong problem solving skills; and an eye towards improving processes and procedures; ability to lift up to 50 pounds.
