Summary/Objective
ASAE helps associations, and the professionals who lead, manage, and work in them, transform society through the power of collaboration. We are looking for someone to join our team as a Part-Time Conference Center Associate. ASAE seeks a proactive and detail-oriented individual that excels in providing excellent customer service experience to all clients/stakeholders, both internal and external. This position will work in partnership with staff across all departments to manage logistics for all in-person and hybrid meetings & events, including ensuring conference rooms are set up to a high standard according to guest requirements, providing food/beverage service when applicable, servicing the rooms during the event, and being ready to help make sure the event runs smoothly.
Essential Functions

Assist the Facilities Manager in completing daily meeting logistics, including room set up/break down of tables/chairs, arranging appetizing food/beverage displays, and assisting with a/v needs.
Organize and coordinate internal and external requests, effectively communicate with staff, clients and vendors to ensure that each meeting/event runs smoothly and efficiently.
Assist catering requests, ensure orders are delivered accurately, product quality and quantity meet standards, and all requested items are received. Serve as backup point of contact for food delivery of catering orders.
Promptly responding to all voice and e-mail messages and last-minute request from clients and supervisor.
Ensure food preparation safety standards follow sanitation and cleaning procedures based on DC Health Department guidelines.
Ensure cleanliness of common areas (meeting/conference rooms, kitchen, etc.) and related equipment before and after use.
Maintaining records of requested equipment and the consumption of beverages by clients.
Schedule equipment service as necessary.
Assist conference center director with controlling costs and maximizes income.
Assist with ensuring the safety of guests and the security of their equipment.
Other duties as assigned.
Essential Skills
Proficient in Microsoft 365.
Exceptional attention to detail, organizational skills, and decision-making.
Excellent verbal and written communication skills.
Must be mannerly and courteous with the public and able to work well with people.
Must possess creativity in food service displays and be able to work with minimal supervision.
Education and Experience
High school diploma or equivalent.
Should possess food service knowledge in basic food/beverage service.
Experience with set-up, planning and organization of meetings and audiovisual equipment is a plus.
