We are seeking a Specialist, Accounts Payable to provide accounting support to the Finance and Administration Department. Duties include Accounts Payable (A/P) processing, Excel schedule creation and maintenance, Adobe PDF creation and maintenance, word processing and general finance and administrative support.
What you’ll bring to the job:
Minimum three years related experience.
High school diploma, some college accounting courses desired.
Thorough knowledge and understanding of A/P process.
Proficient in Microsoft Office applications; experience with Great Plains strongly preferred.
Experience with paperless A/P workflow, experience with PN3 strongly preferred.
Excellent organizational skills and the ability to handle multiple tasks.
Fast, accurate data entry skills.
Excellent customer service.
Willing to provide overtime, if needed.

What you’ll own:
Process A/P through automated paperless system (PN3 or similar); manage workflow process and monitor outstanding invoices; ensure all payables are coded, authorized, and posted properly in accounting system (Great Plains or similar).
Maintain A/P aging to ensure payments are generated in a timely manner for all payees.
Ensure internal controls are followed related to accounts payable.
Provide staff training and staff support for paperless A/P system (PN3).
Prepare & disburse credit card statements to cardholders through PN3; monitor outstanding reconciliations.
Initiate and monitor wire transfer payments to non-US payees
Create & manage bank ACH/EFT transmissions.
Maintain all vendor records and files in a timely and organized fashion, including all payment details, electronic banking information, proper 1099 payee status, and W-9’s or W-8s as required.
Maintain 1099 files year-round and prepare 1099 filing at yearend.
Communicate verbally and in writing with vendors to resolve payment issues.
Maintain various prepaid expense schedules.
Ensure accurate data entry.
Maintain confidentiality of designated information.
Demonstrate ability to meet deadlines, follow procedures, and seek resolution of any outstanding issues.
Assist with general finance and administrative needs, such as scheduling meetings and assist with meeting material preparation.

Demonstrate knowledge of appropriate business practices and procedures, ability to allocate resources, plan procurement, and oversee budgets and contracts to ensure fiscal responsibility.

Demonstrate knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (Microsoft Office Products, AMS).
