As a vital member of the WateReuse Association team, our Conferences & Events Director is responsible for the overall planning and logistics for the Association’s Annual Symposium (700+ ppl event), the annual conference of our California Section (500+ ppl), as well as other periodic meetings, events, and workshops. We are looking for candidates with excellent organizational skills and proven experience required to manage successful teams and programs from start to finish. Our organizational culture includes collaboration, communication, and mutual support. This position reports to the Director of Programs and Strategic Operations to manage the scope of work and strategic direction for events, programs, and conferences.
What You’ll Do
Oversee and facilitate all aspects of event planning and logistics, including site selection, vendor negotiation, event registration, coordination of sponsor requirements, onsite management, and post-event reporting and follow-up.
Prepare, manage, and present budgets for conferences, track all event projected and actual expenses, and reconcile all post-show invoices.
Work with site selection company to source venues, negotiate contracts, and conduct site visits as necessary.
Build and cultivate vendor relationships to help mitigate costs and strengthen net revenue, including A/V, decorators, entertainment, and other onsite venue service providers.
Compile and maintain a master schedule and meeting preparation calendar, showing tasks, responsibilities, and deadlines.
Actively monitor event logistics onsite, assess and troubleshoot issues, and make adjustments as needed.
Work with staff team members, vendors and supervisor to research and implement new formats for conferences to enhance and deliver successful member experiences.
Supervisory Responsibility This position has no supervisory responsibilities.

Essential Qualifications, Skills, and Experience
5+ years of event management experience
Nonprofit association experience a plus
Certified Meeting Professional (CMP) certification a plus
Ability to travel (approximately 2-3 weeks per year) including some weekends
Strong written and verbal communication skills
Excellent administrative, organizational and time management skills with concurrent projects
Advanced computer skills including proficiency in MS Word, Excel, Outlook, PowerPoint, and database management software, as well as flexibility to learn new programs.
