Job Summary:
The Administrative Assistant facilitates the efficient operation of the organization by performing a variety of clerical and administrative tasks. Core duties include membership department support as well as general office support for the suite (for IPO and our subtenant organization).
Duties/Responsibilities:
Provide administrative support to the membership department to include but not limited to:
Member services, entering membership payments, member recruitment, new member onboarding, retention efforts, termination procedures, data hygiene, and other misc. duties as assigned.
Publish IPO’s daily email newsletter sent to the membership each morning, the IPO Daily News. Work schedule of approximately 8 a.m. – 4 p.m. required to execute sending of the newsletter in a timely manner.
Provide administrative support to IPO’s committees, to include but not limited to:
Preparing appointment letters, data hygiene and other duties as assigned.
Provide administrative support to IPO’s meetings department to include but not limited to:
Processing meeting registrations and CLE application process.
Answers and transfers phone calls, screening when necessary.
Posts, retrieves, and distributes mail for the suite.
Welcomes and directs visitors.
Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
Responds to and resolves administrative inquiries and questions from staff, subtenant organization, members, and prospective members.
May include coordinating and scheduling travel for executive staff.
Maintains inventory of office supplies, orders new supplies as needed, and coordinates maintenance of office equipment.
Performs other related duties as assigned.
Required to travel once annually to support the IPO Annual Meeting.
Required to work in person in the IPO office on Wednesdays and Thursdays to support subtenant organization. Days in the office subject to change.
Hybrid telework available as subtenant support needs allow.
Required Skills/Abilities:
Excellent verbal and written communication skills.
Excellent interpersonal and customer service skills.
Proficient in Microsoft Office Suite or related software.
Excellent organizational skills and attention to detail.
Basic understanding of clerical procedures and systems such as recordkeeping and filing.
Ability to work independently.
Education and Experience:
Bachelor’s degree required.
One to three years of experience in an administrative role.
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer.
