The American Association of Neurological Surgeons (AANS) is seeking an Education Program Coordinator supports the administration of the American Association of Neurological Surgeons (AANS) educational portfolio. This position is responsible for the speaker management, planning support and execution of the scientific program content for large Scientific Meetings, including plenary sessions, abstract sessions, breakout sessions and ticketed educational sessions. The Education Program Coordinator documents compliance with continuing medical education requirements. Under the supervision of the Education Manager, prepares various committee documents and reports for the Scientific Program Committee. This position also supports the program and speaker management for other AANS live courses throughout the year. This job operates in a flexible work arrangement with an expectation to be onsite 2 days a week. A qualified candidate may also support projects that are comprised the Association (AANS), the Foundation (NREF) and the data registry arms (NPA).
Manages speaker invitation process, coordination and communications for assigned Scientific Meeting sessions, courses, and abstract presentations and other AANS live courses, as assigned. Processes changes and responds to all inquiries leading up to and during the event. Collects financial disclosure information and other all required speaker forms, documenting for CME compliance as well as adherence to AANS protocols.
Coordinates with course directors, faculty, internal staff and corporate sponsorship companies, when applicable, to confirm the specific needs (i.e. meeting room set up, audio-visual equipment, vendor equipment, etc.) for all assigned educational courses and programmatic sessions. Works with Meetings Department staff to ensure floor plans and function sheets incorporate critical requirements of each session.
In coordination with the Education Manager and Associate Director of Education, supports the efforts of the Scientific Program Committee in the planning and implementation of the educational program and sessions by collating collected information related to the production of program content, agendas and meeting materials.
Assists in assembling and proofing educational program copy for inclusion within meeting materials, e.g., Registration Brochure, Quick Planner, event App, event website, etc. Ensures timely updates on programmatic content, as needed, on the web site. Supports marketing strategies as appropriate.
Manages aspects of assigned Scientific Meeting abstract submission process. Supports award selection, notification and distribution for all plenary and scientific awards. Supports implementation and communication of annual Call for Scientific Programming. Prepares Oral Abstracts and poster listing for publication in the Journal of Neurosurgery.
Provides administrative support prior to and during AANS live, regional courses and events including, distribution of attendee and faculty schedules, packing and tracking course shipments, and supporting live event registration.
Monitors, processes and executes payment for expenses pertaining to educational programs; processes speaker expenses, honoraria, and award checks for assigned live events. Participates in ensuring budgeted revenue targets are measured and met throughout the year.
Coordinates the day-to-day gathering of ACCME required documentation for assigned CME activities to ensure compliance with all ACCME guidelines.
Travels to and provides on-site staff support for assigned Scientific Meetings and other educational courses. Manages award distribution onsite at Scientific Meeting, when necessary.
Performs other job related duties, as assigned by management.
College degree required.
2+ years of prior experience as program/educational coordinator, project management and meetings support. Previous association experience preferred. Knowledge of ACCME Criteria helpful.
Excellent and accurate interpersonal, oral and written communication skills.
Strong attention to detail, ability to demonstrate accuracy, efficiency, while working in a fast-paced team environment.
Capable of managing many projects at once, working with multiple people and able to prioritize job tasks and independently manage one’s time to meet project deadlines.
Proficient in Microsoft Office, specifically Outlook, Word, Excel, and PowerPoint required. Experience with Cadmium preferred.
