The Chief Administrative Officer (CAO) is responsible for administrative office and staff support functions needed by the American Board of Medical Genetics and Genomics (ABMGG; “Board”) as it carries out its mission. They recognize the importance of the institutional history of the organization and its role within the defined profession of medical genetics and genomics and clinical medicine, in general.
The CAO will report directly to the Chief Executive Officer (CEO) of the ABMGG and work closely with the Board of Directors and certain committees.

Components and Responsibilities of the CAO Position
Responsible for administrative management of office staff , including orientation and training.
Assure all benefits, leave, and other personnel-related services are accurate and submitted in a timely manner.
Responsible for the day-to-day financial transactions of the Board.
Approve invoices, deposit checks, and review records and reports of payment due to the Board.
Oversee an E-commerce store that allows for electronic payment of fees.
Work directly with the contracted accountant in the preparation of financial reports, including preparation of financial documents for the annual audit and working with the auditors.
Meeting Planning and Execution
Manage logistical arrangements for Board of Directors meetings, including hotel accommodations, meeting space, and meals. Manage any exhibit arrangements at external conferences.
Oversee external IT provider and the purchase of new hardware and software as needed.
Oversee cybersecurity management of ABMGG databases and infrastructure.
Board Records Management
Assure security for the safekeeping of legal documents and candidate and diplomate records.
Responsible for updating, organizing and maintaining Board policy records, as well as archiving board meeting materials, policy handbooks, and historic documents.
Office Space and Facilities
Coordinate space issues, leases or rental agreements.
Develop RFPs for various services needed by the Board, as needed.
Undertake other assignments as directed by the CEO.
Work with CEO in supporting meetings and other related Board activities.
The position requires a combination of leadership skills, multitasking and flexibility. The ability to prioritize tasks, maintain absolute discretion and confidentiality is critical to the success in this position. The individual is the face of the ABMGG at all times and must be a consummate professional.
Bachelor’s degree required; Master’s degree or equivalent experience preferred.
Administrative management and supervisory experience required.
Familiarity with cybersecurity and IT issues.
Familiarity with financial statements and budget procedures.
General knowledge of human resource functions.
Demonstrate excellent oral and written communication skills.
Travel to several Board and other constituent meetings per year.
