Provides excellent customer service and support to physicians, physician assistants, and medical student members; clinic staff; association partners; and other stakeholders. Manages the membership dues process, and membership recruitment and retention activities. Maintains the association’s membership database including accessing, reporting on, and analyzing membership data. Administers the OMA’s CRM platform and is the point of contact for OMA’s database vendors and developers. Works with multiple internal departments, including Finance and Marketing & Communications.
The OMA is a complex and fast-paced nonprofit organization that supports physicians and physician assistants in their efforts to improve the health of Oregonians. The association stands at the forefront of numerous, quickly changing facets of healthcare in Oregon. The Membership and Database Specialist enjoys the privilege of directly assisting the OMA’s 8,000 members.
Membership Development: Develops a contact plan with strategies for maintaining regular contact with prospective members and key decision-makers at medium and large groups. Oversees and executes member recruitment and retention campaigns. Collaborates with other OMA staff to create and administer member programs and services. Proactively contacts members to increase membership, engagement, and to enhance member data and data accuracy. Manages the distribution of routine correspondence to members.
Member Support: Responds to member inquiries regarding member benefits, products and services or routes inquiries to appropriate staff. Processes new applications and facilitates onboarding.
Membership Operations: Works with the Finance Department to facilitate the dues billing process. Develops and implements policies and procedures to increase Membership Department efficiency and quality of member service.
Database Development and Data Maintenance: Researches, develops and implements best practices for the iMIS association management database. Identifies database deficiencies and work with external consultants to make improvements. Trains staff on database functionality. Institutes processes that ensure data cleanliness and integrity. Extracts and analyzes membership data to better target member communications and increase member engagement. Develops regular membership reports to facilitate data-driven decision-making. Serves as in-house iMIS expert.
Data Analysis and Reporting: Conceptualizes and builds reports with database vendors. Generates queries, exports, reports, and mailing and email lists. Retrieves data as requested by staff and performs analysis and summarization of data when necessary.
Business Development: Manages most existing relationships with vendor partners. Manages new member benefits. Promotes partner products and services to members.
Research: Performs research and gathers data on a variety of topics, including prospective member information, market research, and industry events.
Marketing/Communications Interface: Works with the Marketing team to segment member data and generate targeted communications lists for marketing purposes. Works with the team to improve integration of various communication systems and data into database.

Work involves walking, talking, hearing, using hands to handle, feel or operate objects, tools, or controls, and reaching with hands and arms. Ability to sit at computer terminal for extended period of time. Vision abilities required by this job include close vision and the ability to adjust focus.
