The American Association of Port Authorities, a D.C. metro area trade association representing seaports throughout the Western Hemisphere, is seeking a Database Manager. This person will be responsible for the use and operations of our association management software. A strong candidate will have 7-10 years project or process management experience within an association and significant experience with the association management software iMIS, as well as a flexible, team-oriented attitude and a strong member services focus.
Typical job responsibilities will include:
Create and manage website for Annual Convention, including separate iMIS events for registration, exhibition and sponsorship
Ensure the integrity of our member data by keeping iMIS updated on an ongoing basis and making changes forwarded by AAPA staff for both individual and company records
Maintain committee rosters in iMIS, including committee leaders and different classes of committee membership
Write and edits IQAs as needed to extract data from iMIS for the use of other AAPA staff, including marketing and communications, membership and government relations
Create and manage events within iMIS, including event agendas in RiSE and online registration options through the iMIS event module
Generate past due invoices from iMIS through coordination with AAPA finance coordinator
Assist members and AAPA finance coordinator with event registrations and payments, including cancellations, transfers, refunds, complimentary registrations and special pricing
Assist members with online access to company records within iMIS, including adding staff, updating staff titles and contact information, managing security permissions and editing company administrators
Coordinate the addition of new data and editing of existing data with our outside publisher to ensure consistency between iMIS and outside publications, including AAPA member directory and AAPA industry services guide
Generate mailing lists for publisher on both an annual and quarterly basis
Write IQAs to be used in Informz via iMIS bridge
Manage staff usage of iEmail (add-in to Microsoft Outlook that links iMIS to staff email)
Assist members in updating their organization’s information on an annual basis, facilitating their access through the iMIS online customer management module
Update records of Professional Port Manager candidates in iMIS custom table to reflect candidates' progress through AAPA’s industry certification program
Perform regular database maintenance tasks, correcting the creation of duplicate records by members and any data entry errors made by staff
Manage iMIS improvement projects with outside iMIS reseller on an as-needed basis
SKILLS REQUIRED
iMIS experience, including both the staff site and desktop versions, RiSE, IQAs, batches, A/R Cash and Service Central
Capability to prioritize work according to changing office needs
Ability to oversee ongoing processes and multiple projects independently
Ability to communicate effectively with individuals, co-workers and supervisors (verbal and written) in a team environment
Attentiveness and time sensitivity to AAPA member requests for assistance

NOTES:
Additional Salary Information: Full time position (9:00 am-5:00 pm, M-F). Fully remote work until approximately May 1 when AAPA will open new offices in Washington, DC. Then a combination of in-office and remote work.
Salary mid-to-high $60s. AAPA provides excellent benefits, including health/dental insurance, pension plan and short-term and long-term disability insurance.
