ASTRO, the American Society for Radiation Oncology, is seeking an experienced Senior Education Program Manager to join our Education team. Under the direction of the Assistant Director of Education, this position is responsible for planning and delivery of the various components of ASTRO’s Educational Programs. This entails providing leadership and subject matter expertise in researching, planning, developing, implementing and evaluating the program content for each project which includes ASTRO’s Annual Meeting, Special Interest Group Activities, as well as managing the meeting timelines, budget and providing professional expertise to the Education Program Coordinator/Specialist team member(s) in the form of training and performance management as appropriate. Program formats include live activities, Digital poster program, online learning and hybrid meetings. Responsibilities involve external visibility that impact ASTRO’s public and professional reputation.
NOTE: The position is DC area-based and currently a work-from-home position due to the COVID-19 pandemic. At this time, there is an option to work from our HQ offices in Arlington, VA (Crystal City) on a voluntary basis. After ASTRO’s offices fully re-open (target mid-2021), all staff will be expected to return to the offices on a full-time basis, with the opportunity to telework up to two days/week.
Major responsibilities and duties:
Plan, organize and execute ASTRO educational activities with a CME component. Oversee and be able to perform all necessary tasks in order to meet established timelines and content expectations for each activity.
Liaise and serve as primary contact with committee leadership and its members to organize, plan and execute special interest group activities, related to diversity and inclusion, and resident education.
Facilitate design of innovative educational programs, streamline guiding principles for the development, implementation, management and evaluation of the educational and scientific content for assigned projects.
Serve as the main point of contact for meeting planning committees, faculty, abstract presenters and co-sponsors. Coordinate volunteer communications and manage their planning processes for sessions. Represent ASTRO on-site at various meetings.
Make recommendations on an appropriate educational design/format for enduring materials. Make recommendations on improved processes/procedures to enhance the quality of the program/project.
Cross Collaborate with the Division of Education’s Operations team, eLearning, Communications, IT, and Corporate departments to ensure the success of each project as needed. Work closely to produce educational materials (meeting programs, journal supplements, meeting evaluations, signage, etc.) as well as marketing pieces (registration brochures, ASTROgram stories, dedicated emails, etc.).
Develop and manage project budgets.
Maintain awareness of new regulations and guidelines concerning continuing medical education and ensure that program design and documentation supports compliance with accrediting systems, in particular the essential areas of the ACCME.
Assist in the continuing education accreditation and re-accreditation processes.
Serve as staff liaison for the Committee on Health Equity Diversity and Inclusion
Utilize various technologies as educational tools:
APTIFY (association management system)
Kentico (web management system)
Confex (Speaker Center, abstract submission site, online conference planner)
Conferences i/o (audience response system, social Q and A)
Successful candidates will have:
Education/Experience
Bachelor’s degree or equivalent training required
At least five years of experience planning and organizing educational content for meetings, preferably within a medical specialty society
Work requires demonstrated subject matter expertise in Project Management; demonstrated ability to handle all aspects of the area of responsibility with only general supervision and guidance; and demonstrated ability to develop appropriate procedures and practices and to enhance the quality of the program/project
Knowledge, Skills, and Abilities
Must have knowledge of Microsoft Office Suite, Association Management Databases, web development programs (HTML) and abstract content management systems (Confex).
Must have strong knowledge of continuing medical education requirements, including ACCME standards and essential areas.
Must have strong project management skills and experience training team members.
Must have a team-based approach to planning, display resourcefulness, ability to work collaboratively across the department to achieve desired results.
Must have excellent oral and written communication skills in order to interact effectively with contacts inside and outside the association, particularly with volunteers and physicians –listens effectively and clarifies as needed. Experience managing large committees successfully.
Must have outstanding interpersonal skills, shows understanding, collegiality, courtesy, tact, empathy, cooperation, concern to others; relates well to different people from varied backgrounds and different situations (such as internal staff, volunteers, physicians, and other external entities). Interested in technology, Innovative and dynamic.
Must excel in organization and planning: able to organize multiple tasks and develop realistic actions plans while being sensitive to time constraints and resource availability.
Must be results-orientated: able to work at a fast pace, determine priorities and meet critical deadlines.
Must excel in decision-making and problem solving, able to take action in solving problems while exhibiting judgment and a realistic understanding of issues.
Must be able to use critical thinking to further strategic goals.
Previous management and supervisory experience a plus.
Ability to travel domestically overnight and on weekends, four to six times per year.
