The successful candidate will ensure the provision of professional, accurate, timely and high quality membership management and administration supervision for contracted Alliance programs of IEEE-ISTO. As Membership Manager, you will play a critical role in the success of all assigned Alliance programs. This role is responsible for overseeing and ensuring the accurate and responsive processing/recording of all incoming revenues for assigned IEEE-ISTO Alliance programs through the collection of new and annual membership fees. In addition, the role is charged with managing all Alliance program memberships, membership resources and membership tools, including but not limited to:
* Overseeing an annual renewal cycle for each Alliance program's membership * Keeping Alliance program stakeholders updated on their membership information and communicating membership data accurately and professionally to Alliance programs via regular sync calls with program stakeholders * Understanding membership demographics and identifying trends such as membership growth and/or attrition for Alliance programs * Keeping Alliance Program Managers in IEEE- ISTO aware of membership trends for their assigned alliance programs * Making recommendations to program stakeholders on their membership models based on feedback from program members and member prospects * Reviewing monthly financials for each Alliance program and helping to identify revenue trends to AMS program managers * Researching/recommending new membership tools and systems that effectively meet Program needs and that keep IEEE-ISTO membership support tools current * Managing the Membership Administration staff and identifying the need for temporary employees and/or other additional resources and/or other additional resources, as required.
As an individual contributor, the role serves as a front-line member service associate responding to all forms of membership-related inquiries and, in some occasional cases, provides onsite meeting registration support for assigned Alliance program meetings. As a Manager, the role monitors and provides input to all membership support processes, policies and tools.
New Membership Processing/ Supervision:
·Oversee processing new member applications from technical organizations/individuals, ensuring membership agreements are
·signed/countersigned/filed/returned for all assigned Alliance programs
·Collaborate with internal Finance team to generate/distribute membership dues invoices to new members
·Ensure billing and collection with follow ups on all late membership payments (per specific program financial policy)
·Ensure the addition of new member companies/ contacts to applicable member database(s), as required
·Ensure provision of welcome kits/welcome letters to new members (as applicable)
Membership Renewal Processing:
·Create the annual membership renewal plan for Alliance programs that share calendar renewal; execute the annual membership renewals on time and with accuracy
·Oversee/process Alliance program membership renewals in accordance with specific Alliance program renewal policies, focusing on accuracy and timeliness
·Confirm alliance members’ primary and billing contact information prior to sending out membership renewals
·Distribute member renewal invoices with Alliance program cover emails; file online all invoices sent
·Perform email follow ups on late payments (per specific program policy)
Membership Terminations/Suspensions Processing:
·Make necessary adjustments to applicable membership database(s) as required
·Work with ISTO Program Manager and program stakeholders to gain required approvals for termination/suspension
·Advise internal Finance team of any required accounting action (i.e., invoice change or write off)
Membership Data Compilation:
·Oversee maintenance of a membership Excel-based "scorecard" for each assigned program (to track changes in membership) and email to program stakeholders’ weekly
·Compile membership forecasting reports/charts to assigned programs, when requested, and communicate membership health and trending information to Alliance program stakeholders at syncs and as required
Alliance Program Meeting Support:
·Coordinate any required shipments from ISTO to the assigned Alliance program meeting site
·Occasionally, provide onsite meeting/event registration support
·Ensure all files for all assigned Alliance programs are stored properly, per ISTO and/or Alliance program policy
·Track time per program using internal time tracking tool to measure hours of work performed against contracted support
Front-line Customer Service:
·Regularly monitor all channels of inbound communication (mail, fax, web, phone, etc.)
·Oversee and function as first line of response for all inbound inquiries into assigned Alliance programs
·Work with assigned ISTO program Manager/Finance team members to respond to member inquiries
·Demonstrate professionalism, courtesy and competence in all alliance Program customer interactions
·Manage a staff of two (or more) Membership Administrator(s)
·Monitor workload of membership administration staff and identify any additional resourcing requirements
·Monitor membership tools and process efficiency
·Research/recommend new tools and efficiencies/optimizations, as required
Education and Experience:
·Bachelor’s degree or equivalent experience
·7-10 years experience supporting membership of alliance/consortia/NFP
·7-10 years experience in a heavy volume, customer-focused environment or member organization
Skills and Other Requirements:
·Excellent verbal/written skills required; strong attention to detail
·Strong attention to detail
·Able to multi-task well in a quick-paced, team environment
·PC proficient skilled at managing workflow via email and other web-based tools; strong in MS Office, particularly Excel
·Experience with membership management tools, e.g., Kavi, Confluence, Causeway,Higher Logic, etc.
·Experience supporting and communicating with program executives and volunteers
·Demonstrate poise and competency when communicating directly with customers
·Some travel may be required including potential international travel
