The Society publishes three scholarly journals under the umbrella of the AOSSM Medical Publishing Group (MPG): The American Journal of Sports Medicine (AJSM), Sports Health: A Multidisciplinary Approach, and The Orthopaedic Journal of Sports Medicine (OJSM). The Society has an opening commencing November 1, 2019, for an Editorial and Electronic Media Manager primarily for Sports Health. This is an opportunity to become a member of a dynamic professional team comprising leaders in non-profit management that supports and connects orthopaedic surgeons and other professionals through education and research to prevent and resolve sports injuries among active people of all ages and levels. Duties and Responsibilities
Serves as support for the online manuscript submission system, including but not limited to:
Collaborates with the editors to identify and invite authors and reviewers for solicited and unsolicited manuscripts. Establishes deadlines and follow-up for authors and reviewers.
Monitors and manages the queues of the online manuscript review system (BenchPress), including maintaining accurate records of reviewers, authors, and papers submitted.
Ensures authors submit all materials, including figures and images, in the prescribed format and with all required disclosures, permissions, and licenses.
Facilitates timely review of manuscripts by monitoring reviewer turnaround, developing status reports, and assisting with questions/problems they encounter with BenchPress.
Provides EIC with a complete set of reviews for each manuscript and annotates/updates system regarding EIC decisions.
Monitors author revisions to ensure they conform to editor and reviewer requests/suggestions or need further review. Includes follow-up with tardy authors to ensure timely completion.
Alerts EIC of impending difficulties in completing issues and helps identify and develop a reserve of accepted manuscripts to assist with issue development.
Works with the EIC and Associate Editors to facilitate appropriate communication and ensure coordination of workflow and adherence to journal and editorial policies when inviting, assigning, reviewing, revising, and accepting/rejecting papers.
Generates status and statistical reports from submission system as required for daily operations and for routine and special reporting to EIC, Editorial Board, Executive Editor, and AOSSM Director of Journal Publishing.
Production Quality Assurance
Assists the Sports Health EIC in planning, developing, and executing complete and timely issues (6/year), including but not limited to:
Upon acceptance of manuscripts and completion of all author requirements, coordinates the timely transfer of papers to SAGE for production and issue assignment.
Provides a secondary review of manuscript proofs and other editorial matter to ensure consistent copyediting by the publisher that conforms to Sports Health’s editorial standards.
Assists SAGE in contacting authors, as well as coordinates with EIC, regarding any problems with proofs after author review (eg, substantial revisions requiring further review or other editorial follow-up).
Works with EIC and SAGE on line-up of issues, tables of contents, and page counts (issue and annual allocations) and keeps track of final status of all issues.
Coordinates with AOSSM staff on delivery of member records (AOSSM and collaborating organizations) to publisher for issue mailing deadlines. Forwards publisher-generated invoices to collaborating organizations for bulk subscriptions each issue.
Provides the editorial, cover photos, and society news by the deadlines specified for each issue.
Electronic Media Coordination
Assumes direct responsibility for the electronic media efforts of all three journals, including but not limited to:
Creates and maintains, in collaboration with AOSSM Marketing Associate, social media calendar for all three journals, ensuring balance among social media platforms and journal content.
Works closely with Associate Editor for Social Media, Sports Health, and the Social Media Editorial Board to allocate and collect social media posts for each article and solicit author interviews.
Works closely with Associate Editor for Social Media, AJSM, and the Electronic Media Editorial Board to allocate and collect monthly social media posts, assign podcast development, confirm animated abstracts, schedule and develop webinars, and solicit author interviews.
Works closely with Assistant Editor for Social Media, OJSM, to allocate and collect social media posts on a weekly basis.
Requests and confirms all marketing materials surrounding electronic media for all three journals (eg, website slides advertising current author interview and/or animated abstracts).
Coordinates remote and in-person meetings for the social media editorial team.
Other responsibilities, including but not limited to:
Processes revisions on AJSM twice a week to assist with editorial workflow.
Handles correspondence and outreach activities to/from other health care professionals and their related organizations regarding contributions to Sports Health.
As needed, serves in an administrative capacity for the EIC.
Periodically assists EIC and Associate Editors with presentations, communications, and other interactions concerning Sports Health with the AOSSM Board, Medical Publishing Group, AOSSM membership, and other individuals or organizations.
Assists in the planning of the publishing calendar, special issues, and new initiatives.
Works with Director of Journal Publishing to highlight potential commercial sales opportunities within upcoming issues, as well as identify materials/suggestions for social media.
Fulfills other responsibilities as assigned to maintain a strong publication and AOSSM publishing presence.
Special projects as assigned by the Director of Journal Publishing, EIC, and Executive Editor.
Required Knowledge, Skills, and Abilities:
Working familiarity with the peer review of scholarly journals and with the roles of the editorial office and publisher in production of journal issues.
Familiarity with web-based peer review and manuscript tracking—familiarity with BenchPress is an advantage.
Strong interpersonal skills that enable the candidate to work with medical professionals and research scientists in monitoring the submission and review of manuscripts.
Extremely detail oriented in updating databases, observing deadlines, and in providing reports to the EIC and Director of Journal Publishing.
Proficiency in Microsoft Office software, especially Word, Excel, and Outlook, and the ability to learn other software as well as other office equipment that is integral to the position.
Excellent writing, editing, and proofreading skills required. Familiarity with AMA style required.
Familiarity with social media platforms (eg, Facebook and Twitter) and configuring text for social media engagement helpful but not required.
Excellent organizational skills and ability to work with medical professionals.
Education and Experience:
Bachelors or Masters degree with a concentration in English, publishing, communications, journalism, or science preferred
3-5 years experience with the editorial and/or production office of a medical or scientific peer-reviewed journal
