Provide executive director with critical support in the areas of financial management, IT support, building management and rental marketing, public notice website management, special projects, conference and training planning, strategic planning and other administrative duties.
Director of Administration (DoA) serves as ED in the executive director’s absence, reports directly to the Executive Director and supervises the Member Services Manager.
Budget Coding and Accounts Payable
Manage Employee Timesheets/Payroll
Assist in preparing and managing budget
Work with Communications Manager and Entec (outside IT support) to manage and plan for VPA/VPS IT needs
Develop maintenance schedule for building and oversee outside contractors including: landscapers, janitorial, alarm services, heating & air conditioning, plumbing, roofing, etc.
Act as liaison with main tenant (Yukon eLearning)
Work with Comms Manager to develop marketing program to increase building rentals
Public Notice Website
Act as liaison with Illinois Press Association re: VAPNA website
Monitor VPA member uploads and payment of upload fees
Troubleshoot on platform or other technical issues
Conference and Training Management
Work with executive director on annual conference and training program
Work with internal team on coordinating contest and conference program including IT support such as conference website development
Work with Member Services Manager on logistics for contest, conference and training
Serve as acting executive director in ED’s absence, including: approving payroll; managing accounts payable and accounts receivable; overseeing building rentals and maintenance and other duties as assigned by the executive director.
Strategic Planning - Works with ED, board and staff to develop and implement association's strategic plan.

Conference, Meeting and Training Planning
Strategic Planning Experience
Nonprofit or association experience a plus.
