Selecting the right candidate for our Meetings Coordinator position is central to our future growth and success. The Meetings Coordinator will be a member of a dynamic team that serves small and large businesses from the US and globally within a highly competitive industry. In addition to providing administrative support, this individual supports all aspects of planning and implementation of association events, including over 15 meetings per year.
Key responsibilities of the position include:
Hotel/Expo relationship management: Works with Director, Meetings & Regional Programs to monitor housing lists, review and summarize hotel proposals, and serve as liaison to decorator and exhibitors.
Registration: Support registration needs including creating forms, responding to inquiries, creating internal registration reports.
Logistics: Maintain spreadsheets, calendars and staff travel. Coordinate printing, packing and shipping of materials to all meetings and workshops. Support Business Development team in sponsorship fulfillment.
Employee will possess the following skills:
A college degree or equivalent work experience, preferably in the field of meeting planning, hospitality or event planning is preferred. One year in an association or meeting planning environment is a plus.
Exceptional organizational skills with the ability to handle multiple assignments in a fast-paced, small office team environment, and the ability to meet multiple deadlines.
Proficient in computer and website skills, including but not limited to MSWord / Excel / PowerPoint and Adobe Acrobat.
Some travel is required.
