The AISC Office Assistant is responsible for coordinating and providing general office services and related activities, including all mailroom functions, supply and inventory management and facilities maintenance. The Office Assistant also provides administrative support to the Executive and Market Development Departments.
Duties and responsibilities include the following:
Daily processing, timely delivery and accurate postage on incoming/outgoing mail and packages.
Review shipping requests to determine and advise most economical and appropriate delivery options.
Maintenance of Neopost postage machine.
Create mailing labels using Microsoft Word mail merge.
Receiving guests and deliveries; direct as appropriate.
Supply and Inventory Management
Coordinate the ordering of and maintain an organized inventory of all commonly used office, mailroom and kitchen supplies; beverages, coffee services and equipment as needed or requested.
Responsible for ensuring café, printer’s row, wellness room and conference rooms are tidy, clean and fully stocked.
Unload dishwasher and clean Virtue coffee machine daily.
Assist with set-up and tear-down of in-house meetings.
Assist with internal office moves or alterations of office areas and equipment.
Assist the Executive Assistant and Office Coordinator, as needed, to resolve maintenance issues with the Office of the Building.
Assist the Executive Assistant with coordination of dock scheduling and assist with loading or unloading of packages, furniture, equipment and other shipments.
Assist all staff with operation of electronics in meeting rooms.
Administrative support for Market Development Department
Coordinate ordering and shipping of supplies for presentations, tradeshows and office meetings.
Coordinate quarterly staff meetings.
Manage inventory of marketing material with Production Coordinator.
Oversee CEU certificate processing.
Basic website updates.
Administrative support for Executive Department
Provide administrative support for projects as needed.
Potential for travel 2-3 times a year.
Proficient with Microsoft Office Suite and Google documents, forms and spreadsheets.
Working knowledge of mail processes and office equipment such as postage machines and printers.
Good planning and organizational skills.
Ability to multi-task and establish priorities.
Ability to maintain flexible attitude and use positive interpersonal communication skills.
Able to lift a minimum of 40 pounds.
Education and experience:
High school diploma or higher plus a minimum 1 year of office experience.
