Professional Association seeking a candidate with a minimum of 5+ years’ experience in meeting planning, with outstanding communication, organizational and time-management skills. Must be able to work with a mixture of staff, volunteers, association members, vendors and exhibitors. Candidate should be self-motivated, highly organized and able to manage multiple tasks and rapidly changing priorities). Reports to the Director of Meetings & Events.
AIPLA Stated Meetings (Conferences)
Attend all AIPLA Stated Meetings. Coordinate sponsorship for all meetings. Serve as the primary contact for all session speakers, organizes Awards Presentations and spouse/guest events. Work with mobile app company to build and launch meeting mobile app. Manage marketing for each Stated Meeting. Assist with pre-meeting planning, including reviewing the program agenda, proofreading the program and marketing materials, maintaining web content, and other logistical needs as assigned. Travel to and work on-site at meetings.
One–Two Day Seminars & Meetings
Responsible for the planning and on-site management of traveling and local programs as assigned by the Director of Meetings & Events. Duties include: RFP preparation, contract negotiations, logistics planning, managing vendors and suppliers, coordinating food and beverage, managing speakers, and other logistical needs. Oversee registration process for all attendees. Develop marketing materials, maintaining web content, and responsible for preparing a post-meeting CD-DVD and publication flyers. Travel to and work on-site at meetings.
Competitions and Awards
Coordinate all Award Competitions on behalf of the Association. Duties include: site selection, hotel contracts, logistical arrangements, marketing materials and maintaining web content.
Proficiency in Microsoft Office programs. Database, netForum, familiarity a plus. Travel required and the ability to work weekends as needed. High school diploma required, Associate’s or Bachelor’s degree preferred. Training in meeting or event planning, preferably in an association or non-profit organization, highly desirable. Strong organizational and communications (both written and oral) skills and proofreading skills required. Must be able to juggle many tasks with accuracy and speed, prioritize, retrieve information, and meet deadlines with a high level of attention to detail. Must be resourceful, have experience that demonstrates initiative and problem-solving abilities. Experience with Meeting mobile apps a plus.
