SPSP seeks to fill a part-time (20-24 hours per week) bookkeeper position in its downtown office.
The Bookkeeper oversees the day-to-day accounting and financial transactions. The bookkeeper is responsible for processing Accounts Payable (A/P) and Accounts Receivable (A/R), reconciling monthly statements, tracking credit card purchases, and processing payroll. The bookkeeper will also process month-end journal entries and track various financial schedules.
ESSENTIAL DUTIES AND RESPONSIBILITIES (Duties that occupy a major portion of time and importance in the job)
Accounts Payable • Record credit card purchases and invoices in Quickbooks Online (daily) • Process payments (ACH, Wires, Checks) on a regular basis (every two weeks)
Payroll • Process twice-monthly payroll through Paychex • Ensure benefits and invoices align • Process annual editor stipends through Paychex • Process annual travel award and award stipends • Enter payroll transactions into Quickbooks (monthly)
Accounts Receivable • Record sales batches from credit card processor into Quickbooks (daily) • Manage any refunds requested by staff/members • Record checks sent to lockbox in Quickbooks (daily) • Process any invoices to customers (daily) • Monitor accounts/receivable balances in Quickbooks and membership database (monthly)
Month-End • Reconcile checking, money market, credit cards, and money market accounts • Complete accurate, complete close of books by 10th of month • Record adjusting journal entries and update relevant schedules • Update schedule of endowments and investment activity • Provide financial statements to management team by 10th of month
Other • Manage inquiries related to finance from staff, vendors, and members • Maintain accurate and up-to-date electronic files at all times • Maintain strong internal controls to mitigate risk • Maintain accounting manual of processes and procedures • Recommend, as needed, changes to processes and procedures to streamline workload
QUALIFICATIONS, KNOWLEDGE SKILL REQUIRED (Minimum education and experience needed to perform the job adequately)
• Bachelor's Degree in Business Administration, Finance, or related degree • Minimum of three years of bookkeeping experience • Proficiency using QuickBooks Online, database systems, and Microsoft Office Suite (Word, Excel, PowerPoint) • High degree of accuracy and attention to detail • Excellent organizational, analytic, and interpersonal skills • Ability to work both independently and collaboratively within a fast-paced, entrepreneurial environment
